Privacy Policy

This is a general policy overview. Specific terms for paid engagements are governed by your individual signed agreement with Vantic.

This Privacy Policy explains how Vantic collects, uses, shares, and protects personal information when you use our website and services. We are committed to handling your information responsibly and in compliance with Quebec's Act respecting the protection of personal information in the private sector (Law 25).

1. Information we collect

We collect two categories of information:

Information you provide

When you complete our eligibility form or otherwise contact us, we collect:

  • Your name
  • Your email address
  • Your phone number
  • Your business type
  • Your answers to the eligibility form questions
  • Your SMS consent choice, consent wording version, source page, and timestamp when you opt in

Information collected automatically

As you browse the site, we collect anonymous behavioural and technical data to understand how the site is used, including:

  • Page views
  • Button clicks
  • Scroll depth
  • Session data (such as a randomly generated session identifier)
  • Marketing attribution data, such as UTM parameters, landing page, referrer, and advertising click identifiers where available

This behavioural data is gathered through our own tracking system (hosted on Supabase) and through Microsoft Clarity, a session-analytics tool. It is not used to personally identify you.

2. How we use your information

We use the information we collect to:

  • Evaluate your eligibility for our services;
  • Follow up with you about our services, including by SMS when you have consented; you can reply STOP to opt out and HELP for help;
  • Improve our website and understand how visitors use it.

3. Who we share your information with

We do not sell your personal information. We share it only with the third-party service providers we rely on to operate our business, each of which processes data on our behalf:

  • Supabase — database hosting and storage of form submissions and tracking data.
  • Twilio — sending SMS/text messages related to your inquiry or bookings.
  • GoHighLevel / LeadConnector — customer relationship management, appointment scheduling, email, SMS, and consent records as we transition these operations to that platform.
  • Google — Google Calendar and Google Meet to schedule and host booked calls, and Google Ads where applicable.
  • Microsoft Clarity — session analytics and behavioural insights.

Some of these providers may store or process data outside Quebec or Canada. We take reasonable steps to ensure your information receives an adequate level of protection.

SMS and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, other than the service providers we use to deliver the messages you requested (currently Twilio, and GoHighLevel / LeadConnector as we transition messaging to that platform).

4. How long we keep your information

We keep personal information only as long as necessary for the purposes it was collected:

  • Lead and prospect information (submitted through our eligibility form, if you don't become a client): retained for up to 18 months from your last interaction with us.
  • Client information (if you engage our services): retained for the duration of our engagement and up to 7 years afterward, for accounting and legal purposes.
  • Anonymous analytics and tracking data (page views, clicks, session data): retained for up to 14 months.

After these periods, your information is deleted or fully anonymized.

5. Your rights under Quebec's Law 25

Under the Act respecting the protection of personal information in the private sector, you have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate or incomplete information;
  • Request the deletion of your personal information, subject to legal limits.

6. Cookies and local storage

To measure how the site is used, we store a randomly generated session identifier in your browser's local storage. This identifier lets us group anonymous behavioural events (page views, clicks, scroll depth) into a single session. It does not contain your name or contact details. You can clear this data at any time through your browser settings. Microsoft Clarity may also use cookies or similar technologies for session analytics.
